Our
use of CADD also enables us to communicate with our consultants
on a daily basis, e-mailing drawings and revisions to
plans in order to efficiently coordinate our drawings
as well as complete projects on time.
Proffitt & Associates
uses 12 networked computer stations linked to a new 240
GB server where all drawings, documents and files are
stored. This "Server 1" is programmed to backup
to an identical "Server 2" every 24 hours.
If Server 1 should fail, Server 2 can be immediately
accessed and used by all stations with no disruption
to work effort and no loss of information. In addition,
daily tape backups are also performed and the latest
backup taken off site each evening. In the event of loss
of both servers for any reason (fire, theft, etc.), all
data can be retrieved and downloaded and work may continue.
All
projects are stored on the Server in a standard filing
system, which is set-up by our office manager at the
onset of any new project. This filing system was initiated
in order to store larger projects in the computer in
an organized fashion, and one which permits us to know
which drawings are the most current, as well as past
design options and their derivations. A copy of a blank
filing system set-up is included in this section for
your reference.
We
have also established a drawing sequencing method in-house,
which enables us to insert sheets within our set of documents
easily without having to rename details, sheet numbers
etc. This avoids major issues during construction when
detail numbers do not match-up with their details and
when the sheets are not compiled in an orderly fashion.
We
then coordinate with our consultants requiring a similar
method, so that the drawings all flow well together,
and can be easily coordinated in the field by the contractor.
Coordination between trades is one of the most important
issues during construction, and if the documents are
clear it makes both the contractor’s job easier,
as well as the Architect’s.
In
reference to production, our peripherals include an HP
color laserjet printer for standard documents, a new
HP100 Designjet for large format color presentations,
and a new, state-of-the-art Xerox 510dp wide-format,
high speed printer and scanner system for drawings. For
printings of bid documents and large submissions we have
established relationships with two local reprographic
firms.
Our
office uses the most current versions of Windows and
Microsoft Office applications including Word, Excel,
Access, Publisher and PowerPoint. We maintain a license
for the use and reproduction of American Institute of
Architects (AIA) electronic documents facilitating the
preparation and issuance of such standard project forms
as contracts, change orders, requests for proposals,
construction change directives and certificates of substantial
completion.
Our
consultants are similarly equipped with current technology,
hardware and software. All are equipped with CADD software
and are able to transmit and receive documents electronically.
In summary, our team is fully capable of producing integrated,
coordinated construction documents.
